ESSENTIAL DUTIES AND RESPONSIBILITIES:Keep the doctor and the hygienist productively busy throughout the dayAnswer phonesSchedule all appointments and detail procedure and time neededStabilize production by booking by the zone scheduling conceptMaximize time efficiency in scheduling by utilizing procedure codes to doctor time, assistant time, anesthesia, etc.Check that lab cases have been received the day before treatmentGreet patients by name and update addresses, telephone numbers and insurance information as appropriateAlert appropriate staff of patient arrivalsMonitor the schedule throughout the day to insure that all runs smoothlyAdjust the schedule as necessaryReschedule the late patient and any no-shows that occur during the dayCheck account balances of patients coming in and prepare to discuss any monies dueAdhere to all safety and health regulationsMonitor outstanding claims, calling on claims 30 days or Call on delinquent accountsPrepare daily bank depositPrepare a financial action plan by reviewing the patients for the next day and determining their financial needs and status, put this on route slipRun all requested reportsProcess EOBs and requests for additional informationResearch insurance benefits and prepare estimates on treatment diagnosed prior to discussing financial arrangements in a private placeDetermine patients insurance carrier and patients share of costCollect all patient co-pays at time of serviceMake financial arrangements on all patients according to our financial policySend e-claims and paper claims dailyDocument the payment option selected by patientFinancial arrangements must be made after the exam and consultation and prior to treatmentObtain a signed financial agreement if you decide to offer financing to the patient; Specify number of payments and due dates. Monitor paymentsPost all payments, send additional statements as neededPresent treatment plan, using models, diagrams and provide related literatureBill secondary insurancePrepare a treatment planning schedule, book the first appointment and arrange for subsequent hygiene appointmentsBe prepared to quantify referral sources, units diagnosed; units accepted; percent accepted; units completed; and actual production compared to monthly goals on monitor reports.
