Job Title: Secretary/Office ManagerLocation: St. Cloud, MNJob Type: Full-TimeJob Summary: We are seeking a detailed, self-motivated Secretary to ensure the smooth operation of our office environment. This role involves managing day-to-day office activities, providing exceptional support to clients, and maintaining a clean and organized workspace. We are seeking someone who would be open to growing into an Office Manager position.Key Responsibilities:Office Operations:Oversee daily office activities to ensure efficiency and productivityManage Office Supplies InventoryImplement and maintain Office Policies and ProceduresCommunication:Answer phone calls promptly and professionally, directing inquiries as necessary.Manage email correspondence and respond to client requests in a timely manner.Client Scheduling:Schedule appointments and meetings for clients and staff, ensuring optimal time management.Maintain an organized calendar and coordinate logistics for client visitsOffice Maintenance:Ensure the office and bathrooms are clean and well-maintainedConduct regular inspections of the office to identify areas for improvement or maintenance Administrative Support:Assist with general administrative tasks, such as filing, data entry, and document management.Accounts Receivable:Manage customer billing and bill paymentsMail Duties:Process incoming and outgoing mail.Qualifications:Bilingual would be beneficial, but is not requiredSelf-motivatedStrong organizational and multitasking skillsExcellent communication skills, both verbal and writtenProficient with Microsoft Office SuiteAbility to maintain a high level of confidentialityAttention to detail and a commitment to maintaining a clean workspaceExcellent customer service skills in person, by phone, and by emailHigh School Diploma or GEDMust pass background checks for Criminal History, Employment History and Social Media CheckBenefits:Nine paid days off including: New Years Eve, New Years Day, Memorial Day, July 4th, Labor Day, Thanksgiving Day, The day after Thanksgiving Day, Christmas Eve and Christmas Day
